It is important to treat an email contact just like any other
business correspondence. A prompt, professional response not only tells your
visitor that you are a professional but also that you care about his or her
questions. Ignoring an email has the same effect as walking away when a customer
visiting your store or office asks you a question in person.
Use the same
format to respond to emails that you would use to respond to a business letter.
Proper salutation, message body and close are important even if the person that
sent the email did not use a formal format. If you feel it may take you some
time to gather the information requested or to answer the visitor’s question,
respond as soon as possible with an explanation for the delay and an expected
time frame for the complete response.
Replying to email inquiries quickly
is even more important when your business is closed due to a holiday or a
weekend. Business closures already force delays, any additional communication
delay may cause the recipient to go else where.
